The Challenge

A regional retail chain with three locations across the Tulsa metro — one in Brookside, one at 71st and Memorial, and one in Broken Arrow — was struggling with inconsistent security management. Each store had its own standalone alarm panel from a different provider, keys were passed between managers with no tracking, and there was no centralized way to know who was entering each location or when. After a former employee used a copied key to access the Brookside store after hours, the owner knew something had to change.

The business needed a unified system that would let the owner manage all three locations from one place, eliminate physical keys entirely, and create an auditable record of every entry and exit at every door. Budget was a concern — the owner wanted enterprise-level control without enterprise-level pricing.

Our Solution

Witness Security designed a cloud-managed access control and alarm system that unified all three retail locations under a single management platform. The system replaced keys with credential-based entry and gave the owner full visibility from one mobile app.

• 9 smart locks and card readers — three per location, covering front entry, back stockroom door, and office/safe room
• Employee badge credentials — each of the 22 employees received a unique badge that logs every entry with a timestamp, location, and door
• Scheduled access rules — employees can only enter during their assigned shifts; managers have extended access windows; the owner has 24/7 access at all locations
• Remote lockdown capability — the owner can lock any door at any location instantly from the app, or trigger a full lockdown across all three stores simultaneously
• Intrusion alarm panels — new hardwired alarm systems at each location with glass break sensors, door contacts, and interior motion detectors, all reporting to the same central monitoring station
• Unified mobile dashboard — real-time status of all three locations, push notifications for after-hours access attempts, and one-tap arming/disarming

We installed each location during overnight hours to avoid any business disruption. The old alarm panels and locks were removed, and every employee was on-boarded with their new badge credentials before the first store opened the next morning.

The Results

Within the first week, the access logs revealed that a stockroom door at the Memorial location was being propped open during deliveries — a vulnerability that had gone unnoticed for months. The issue was corrected immediately with a door-ajar alert.
